STATEWIDE: Cookie Pick Up 

REMINDERS: 

  • PRINT DELIVERY CONFIRMATION and bring to cookie pick up!
  • Do not bring children with you to pick up.
  • Verify cookie order before you sign off. There will be no adjustment once you have. 
  • Bring tarp for flat bed pick up truck- cookies must be covered.

We are now taking order for the 2014-2015 cookie pin! If your troop would like to order them, reserve yours here.

Cookie Buffer
Our Cookie Buffer will be located in our old shop, which is downstairs in the lobby of the Ala Moana Hotel. It will be opening 3/4. Make sure to review the schedule that will be in your cookie packet the day of pick up. 

Cookie Locator App
Customers can use the apps to find the cookie booth closest to them including the time, date and location of the sale. Both apps are directly linked to eBudde, so it is important to deselect your site in eBudde if your troop is not able to make a booth site. Find out more about each of them here: Little Brownie Baker App and Girl Scout USA App.

Adding Booth Sites
If you need to add booth sites in eBudde, please make sure to come by the council office to pick up the correct paperwork. Please email elstone@girlscouts-hawaii.org with questions.

Our Goal Getter contest is half way over, but there are still some great prizes to win (including Wet N Wild water park tickets!) CASH for Volunteers
We still need a few more volunteers for cookie pick-up on 2/26 8am-4pm, so we are offering to deposit $5/ hour to your troops account. Please email which hours you can work to Elizabeth at elstone@girlscouts-hawaii.org asap! Also, if you have not chosen a time to pick up your cookies, please log in to eBudde today and choose a time slot you would like your troop to come pick up your cookie order.

For safety reasons, please do not bring children to cookie pick up.  
Cookie boxes may shift while transporting cookies.
Each troop will be allowed ONLY 1-2 cases of Toffee-tastic at pick up. 
VERIFY YOUR COOKIE COUNT BEFORE YOU SIGN OFF ON YOUR COOKIE CONFIRMATION SHEET.  WE WILL NOT MAKE ANY ADJUSTMENTS TO ORDERS ONCE THEY ARE SIGNED OFF.

STATEWIDE: Goal Getter ALL MONTH! 

Goal Getter 
The pre-sale season has come to an end, but we still have booth site selling and the entire month of February to service our loyal and patient customers who have been waiting all year for GS Cookies! You may continue to take orders (and win prizes!) using your "GOAL GETTER CARDS" which is the one page white sheet. 

How to Win: On each Friday of February (6th, 13th, 20th, 27th) fax in your order sheet (691-9340) or scan and email to elstone@girlscouts-hawaii.org if you have sold at LEAST 24 boxes of cookies. For every 24 boxes, we will enter your name. From those, we will randomly select a winner each Monday! There is a different GREAT prize every week, so make sure to keep entering! This weeks prize is..

$25 itunes gift card and awesome Skullcandy earbuds!

Keep Track: To keep track of boxes sold during February, follow these steps: Go to the "Girl Orders" tab, click on a girls name, and you will see an option in the left hand corner to "Add Transaction". Adjust the number under the "Cookie Other" column.  


Delivery Tab 
Now that your cookie orders are in, it's time to schedule your pick up time via the "Delivery Tab" in eBudde. This is the time when you will schedule your cookie pick up on your respective island.  This year, we are asking that all neighbor island troops use the Delivery Tab to save their pick up time.

Instructions:
* Click on the "Delivery" tab
* Choose a time slot and click on it. eBudde will fill your troop number in the slot and tell you how many time slots you will need according to the amount of cookies you ordered.
* Choose if you will be picking up for your troop or if another troop will be picking up for you.
* SUBMIT
* Once confirmed, print out your confirmation and BRING THIS FORM WITH YOU TO COOKIE PICK UP.
*  As a reminder the entire cookie order must be picked up at one time. Please plan the number of vehicles you will need ahead of time.
*  During cookie pick you will have the option to pick up 1 or 2 cases of our new gluten free cookie Toffee-tastic. This will be added to your troop's cookie inventory in eBudde. 1 case=12 boxes.
* If you have signed up for booth sites, a packet containing all necessary documents will also be handed out during cookie pick up.

Square Sign-up
Once again, we are partnering with Square to allow troops to accept credit and debit payments at cookie booth sites. The card readers are free and payments go directly to Girl Scouts of Hawaii. First, verify compatibility with the smartphone or mobile device. Then, the 2 designated volunteers need to complete this form. no later than 2/16/15. A few days after submission, volunteers will receive an email from Square. Be sure to read it and complete the final steps of registration. Once completed, the square reader will be mailed directly to the volunteers. Troops wishing to accept card payments must complete this registration process in order to properly link to the correct bank account. Square payments need to be annotated in the "Deposits" section of eBudde.  


CEO: Cookie Entrepreneurial Officer Event Venue
It's official! This year, to celebrate the achievements of all girls who participated in the Cookie Program, and especially those who sold over 700 boxes, we are holding our CEO event at Secret Island located off of Kane'ohe Bay! Girls will enjoy a boat ride to Secret Island with lots of great activities to participate in, including a delicious luncheon buffet! 

Cookie Buffer
Good News! Ala Moana Hotel has allowed us to use our old shop space as our cookie buffer this year. Many of you know, but it is located on the first floor across from the Shopette. The Cookie Buffer provides extra cases for those of you who run out of your initial order cookies, but still have time to sell. You can come check out more cookies, but once you leave with them you are financially responsible for them. Stay tuned for the schedule!

Booth Site Selection
Booth site selection is unlimited and now open to all. If there are any booth site additions, there will be an eBudde blast a day before it is posted. Please remember, if you can't make your booth, deselect it in eBudde. 


Deposit Gift of Caring Money
Remember, to receive early proceeds on your GOC orders, you have until 1/31 to deposit money into the GSH Bank Account.

Booth Site Selection
Booth site selection #4 will be opening 1/21 at 6:30pm. The number of sites you will be allowed to choose is unlimited, so make sure you sign up for as many as your troop needs. Please note, that if you sign up for a booth site and don't show up, it is a bad reflection on the entire organization. Businesses will not be willing to continue to support Girl Scouts if we do not follow through with our word. So please, if you are not able to make it to your site, simply deselect it in eBudde.

Cookie Pick-Up
February 26th, 8am-5pm is our cookie delivery day, and it is a huge production! We wouldn't be able to do it without the help of volunteers, so if you would like to come (even for just a few hours), or know someone who might, please email Elizabeth at elstone@girlscouts-hawaii.org by 2/13 for details. Help us make this cookie season the best one yet!


IMPORTANT DUE DATES:

-January 23: Try and get those last minute orders in before Pre-Sale ends!

-January 23: Make sure you have made the correct selections in your Rewards tab.

-January 24: Cookie Orders due to Troop Cookie Manager.

-January 28: Cookie Mangers initial order/rewards due to SUCM: *CM will be LOCKED OUT at midnight. 

-January 31: Troops must make GOC deposits to receive early proceeds.

-February 4: Select your Cookie Pick Up time in the Delivery Tab.

-*Your troop MUST input bank account information or your troop WILL NOT GET PAID. The deadline was last Friday, so if you have not entered your bank information, it is imperative that you do so immediately.

Step by Step Instructions on How to Submit your Initial Order:

1. Input each girl's order under the "Initial Order" tab. Make sure to update by pressing "OK."
2. Use the "Booth Estimator Worksheet" to determine the amount of cookies you will need during your booth sites. Enter your order under the "Booth" row.
3. The "Other" row may be used for estimates from your "Goal Getter Card", door to door sales that you might have planned, etc.
4. Once you have determined all of the cookies your troop would like to order, DOUBLE CHECK the total before you SUBMIT your order. You can only submit ONCE.
5. Initial rewards such as the participation patch, GOC patch and the Goal Getter patch will be automatically calculated by eBudde, but you must SUBMIT the order. Go to the "Rewards" tab and remember to SUBMIT the INITIAL REWARDS order. The FINAL REWARDS will be submitted at the end of the Cookie Season.
6. The only money that should be deposited at this time is for the Gift of Caring donations. The money should be deposited in the GSH Council bank account at either FHB or BOH by 1/31 if your troop would like to earn early proceeds on the GOC donations.
7. When making a GOC deposit, please notate on the deposit slip:

STATEWIDE: Booth Site Selection #2

IMPORTANT! Make sure that your troops bank account information is inputted into eBudde by this Friday, 1/16. 

Booth Site Selection
Didn't get what you wanted the first round of booth site selection? No sweat! Many new locations and times will be posted on our second round. It begins Thursday, 1/15 at 6:30pm eBudde time, sharp. Its competitive, so make sure you have your sites planned out again.

 Just a reminder about the rules: 
-You will be limited to 3 additional (6 total) site selections 
-Limit of 2 sign ups per chain
-*Don't select 2 times slots for one location:you will kicked out of the selection site. 

Bling your Booth                                                                                                                               What makes cookie selling more fun? Bedazzling your booth! GSH is hosting a Bling your Booth contest! Read all about booth etiquette and how you can win some great prizes here.  

Cookie Pre-Sale
Pre-sale ends January 23rd! Are your girls working toward their goal? Don't forget about our awesome incentive prizes. Check them out below!

Incentives

Troops with an average of 175+ boxes during pre-sale will receive a Cookie Clipboard for each girl and 1 for the leader. 
Girl Scouts who collect 12+ donation boxes for local charities during pre-sale, or 24+ boxes during entire cookie season will earn this Gift of Caring patch.
Girl Scouts who turn in a pre-sale order of 175+ boxes will receive this adorable Goal Getter patch!

Safety First
Our girls are out and about taking pre-orders, and soon they will be delivering cookies door to door and standing outside of stores. Make sure you and your girls are up to date on our safety tips.

Cookie Checks
Girl Scouts do allow customers to write checks for cookies, but please make sure they address it to Girl Scout of Hawaii, and not an individual person or troop. ALSO, please note that if the check bounces, the troop will be held responsible for the cost and NSF fee.

New Cookie Flavors
The new cookie flavors have hit the media hard! You may have seen news coverage or an online article about the 3 new flavors. Girl Scouts of Hawai'i will only be selling 2 new flavors- Rah Rah Raisin and Toffee-tastic. It is up to our  volunteers to clarify if customers inquire about the 3rd flavor. 

Booth Site Selection 
Round 1 is coming up quick! January 12th at 6:30pm, eBudde will be open for troops to sign up for Cookie Booth Sites. For the first and second round, troops will be limited to 3 locations, and only 1 location per chain. 

You've got Stories! 
Our girls have done so many great things with their cookie money. Tell us about them! We are looking for great stories about how girls have impacted their community or gained valuable experience because of the Cookie Program. Please include pictures (with parental permission) and email your stories to elstone@girlscouts-hawaii.org ASAP. 

Maui & Big Island Cookie Rally
Cookie Party Time! Maui and Big Island will be hosting their cookie rallies on January 10th and 11th respectively. For more information, please contact Tauna at taneerings@girlscouts-hawaii.org for Maui, or Marci at mamanker@girlscouts-hawaii.org for Big Island.   

Samoas 40th Birthday Bash
2 more days! To celebrate the famous Samoa Cookie, Girl Scouts will be broadcasting the biggest Girl Scout Cookie party ever! Make sure to tune in January 10th! Check their website for updates.

STATEWIDE: Cookie Pre-Sale Coming Up on Jan. 5, 2015!!

Get ready!  It's Cookie Time!  Pre-Sale begins Jan. 5, 2015.
GSUSA will officially announce Rah Rah Raisin and Toffe-tastic.  Be sure to let every customer know about our new flavors.

Toffee-tastic will not be available during preselling, but will be available in limited supply during booth site selling.  Each troop will have the option of picking up 1-2 cases of Toffee-tastic at Cookie Pick up in February.

To ensure that your troop's hard earned cookie proceeds are deposited in a timely manner, please enter your bank information into eBudde by 1/16/15.

Banish the boring! GSH will be sponsoring a Bling your Booth contest.  The contest will be held on Facebook with whoever gets the most likes on their 10 second video. This year’s prize will be an official Bling My Booth Patch for each member of the troop AND a $50 gift certificate to the Girl Scout Online Store per troop. This year’s themes are: “Gift of Caring” and “Rah-Rah Raisin”. GSH office will be closed from December 25th- January 4th. Since this is a long break, please make sure to communicate any questions, comments, concerns with us now! We want to make sure you're equipped to hit the ground running when the Holidays are over!

Don't forget! We have all of your cookie supplies available for you in our Volunteer Resource Room. Swing by to stock up on: Girl Order Card, Goal Getter Card, Money Envelopes, Receipt Book, and Bank Deposit Slips

Booth Sites
We have a great list of Cookie booth sites for you this year, but if you have additional ideas or suggestions, please email Elizabeth at elstone@girlscouts-hawaii.org. If possible, please include contact information along with the location. 

Social Media
Pre-sale starts soon, and many people have been asking about social media. If you are to post about cookies on your Facebook (girls needs to be 13+ if she posts on hers), please do not just ask for orders. Let the public know what a great program Cookies are! Here are a few examples:

- "When you buy a box of Girl Scout Cookies, you help girls learn while they earn! Support a #cookieboss today."

- "Sure, selling cookies is great. But what your local #cookieboss does with the money she earns is even greater!"

- "You get your favorite #Girlscoutcookies, she learns #5skills. We all win!"

STATEWIDE: eBudde Q&A's

What is DOC?  Digital Order Card (platform)

Why is my troop listed as a participating troop in the Digital Cookie Program even if we didn’t sign up to participate?  All troops are listed as participants because the GSH Council is participating, but not all troops will have access to the Digital Order Card platform unless activated by Council.  Only troops who have turned in the DOC agreement form will be activated.  To participate in the Digital Cookie Program, please contact Lila at lifrisbie@girlscouts-hawaii.org ASAP.

Why is my banking information not in eBudde?  Bank information from previous years has been erased due to the set up of the Digital Cookie Program and must be re-entered by Jan. 16, 2015.

Why is the troop leader contact blank?  Only the Cookie Managers who have turned in their “Cookie Manager Agreement Form” have been activated in eBudde.  The Cookie Manager is able to add the troop leader and any other role to the “Contacts” tab.

Why can’t I add/delete any girls in my troop?  Please contact your Service Unit Cookie Manager to add or delete a girl from your troop.  Transfer paperwork may be required to remove the girl from your troop.  You may also contact Lila or Elizabeth for assistance.

Why can’t I update “Girls Selling”?  The “Girls Selling” field will be updated automatically by eBudde.

If you are a returning volunteer and have turned in your Cookie Manager Agreement Form, please feel free to login and update your troop information in the Contact and Settings tab. (Login with your email/ temp password: 3095@RahRah)

- Once in eBudde and you find that a girl is no longer in your troop or there is a girl missing from your troop:

1.       Check your troop roster to see what is officially in the membership database.
2.       If she is not registered, please follow up with the parent to register the girl.
3.       If she is in the incorrect troop in the membership database, submit a help ticket to      helpdesk@girlscouts-hawaii.org to have her transferred to the correct troop.
4.       If she is no longer a member of Girl Scouts, please submit a help desk ticket with this information.

 Registration Deadline
The first round of Cookie Booth Site Selections on January 12th will be here quicker than you know it! To make sure you are eligible to participate, please have your entire troop registered by December 19th! We would hate for anybody to miss out on the first round, so double check your girls are registered Girl Scouts. It just takes a few minutes! Register here. If you need assistance checking your roster, please click here.
